Who we are

This website is run by VMT Solutions Ltd, trading as VMT Fire & Security. We are a private limited company registered in England and Wales under company number 15493308. Our registered office is 35 Rural Enterprise Centre, Stafford Drive, Battlefield Enterprise Park, Shrewsbury SY1 3FE.

We are the data controller for the personal information described in this policy. We are registered with the Information Commissioner's Office under reference ZB803270.

What we collect and why

When you ask for a quote or contact us

If you call, email or message us, we use your name, contact details, the property address and the details you give about your system or requirements to reply, arrange a survey and prepare a quote. The lawful basis is taking steps at your request before entering into a contract, or our legitimate interest in responding to enquiries.

The forms on this website do not store your details on our website. On the contact page you choose how to send your enquiry. If you choose email, your details, message and any files you attach are sent to our inbox through Resend, our email delivery provider, and kept with our other email correspondence. If you choose WhatsApp, the form opens WhatsApp on your device with your message filled in, and nothing is sent until you choose to send it. Messages sent through WhatsApp are also handled by WhatsApp (Meta) under its own privacy policy. Please only attach photos or documents you are happy for us to see, and avoid including other people where you can.

When we carry out work for you

For installations, maintenance and repairs we keep customer contact details, site addresses, system details, service records and invoices. We use this to deliver the work, maintain your system, meet our legal and accounting obligations, and keep records such as fire alarm service reports. The lawful bases are performance of a contract and compliance with legal obligations. We treat system details and access information as confidential.

When you use the Security Advisor

The Security Advisor sends the property type, town and description you enter to an artificial intelligence model, accessed through our website provider's AI service, to generate suggested services. We do not ask for your name or contact details on that page, and we ask you not to include personal information in the description. If you choose to send the result to us on WhatsApp, it is handled as an enquiry.

When you browse this website

With your consent, we use Google Analytics to understand how visitors use the site, such as which pages are viewed, how visitors arrived and which buttons are used. This tells us what works and what needs improving. Google Analytics does not give us your name or contact details. The lawful basis is consent, which you can withdraw at any time. Our hosting provider also processes technical data, such as IP addresses, to deliver the website securely.

Who we share information with

We do not sell personal information. We share it only where needed, with:

  • service providers who support our business, such as our email (including Resend for contact form emails), website hosting and analytics providers;
  • WhatsApp, when you choose to contact us that way;
  • equipment manufacturers or suppliers, where needed to register warranties or resolve faults;
  • our accountants, insurers and professional advisers;
  • accreditation bodies when they audit our work, and authorities where the law requires it.

Some providers, such as Google and Meta, may process data outside the UK. Where that happens, the transfer is protected by UK adequacy regulations or approved contractual safeguards.

How long we keep it

  • Enquiries that do not lead to work: up to 12 months.
  • Customer, job and service records: six years after the last work for you, to meet tax and legal requirements.
  • Analytics data: for the retention period set in our Google Analytics account, no longer than 14 months.

Your rights

You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, and to withdraw consent at any time. To make a request, email admin@vmtsafe.co.uk. We will respond within one month.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

We may update this policy when our services or the law change. The date at the top shows when it was last revised.
